Pop-Up Practices Coordinator
The Pop-Up Practices Coordinator oversees all Pop-Up operations, maintains concert spaces, completes a ‘call to artists’ process, gathers and submits required checklists to the Orleans Cultural District Committee (OCDC), and ensures clear, consistent communication with the OCDC. The Coordinator is responsible for all communication with performers and for maintaining a strong and reliable line of communication with the OCDC & Town Staff, as outlined in established guidelines.
This position requires strong organizational skills, a commitment to music and cultural programming in the Town of Orleans, and the ability to ensure the timely and accurate submission of all required paperwork.
Job Guidelines
The Coordinator will run a ‘Call to Artists’ program to ensure a public process in selection of performers. Once applicants have been received, the Coordinator will compile a list of potential performers for both the Fall and Spring Pop-Up Practices seasons. This list will be submitted to the Committee, allowing the OCDC to vote on their preferred performers for each season. In the absence of an OCDC vote, Town Staff can work with the Coordinator to select performers.
o Fall: # of slots – 12
o Spring: # of slots – 12

The Coordinator will attend a minimum of two OCDC meetings annually—one for the Fall season and one for the Spring season—to present performer lists & schedule and facilitate discussion prior to the Committee’s vote.
Once performers have been selected, the Coordinator will use the Performer Checklist and collect all required information from each performer (see attached).
The Coordinator will provide all completed information to the OCDC and Recreation staff for further distribution, as needed.
The Coordinator will develop a seasonal performance schedule, that aligns with events in town.
The Coordinator will collect metrics on number of attendees at each pop-up event.
The Coordinator will be responsible for setting up and taking down promotional signage for each Pop-Up Event.
The Coordinator will be responsible for setting up and breaking down chairs for each Pop-Up Event.
Salary: $125 per Pop-Up Event
(ie: 12 Pop-Up concerts = $1500)
*Based on program being fully funded
* If Program Coordinator is unable to fulfill any duties as outlined in the contract, they must secure staffing coverage for all pop-up events, ensuring all roles are filled and operational needs are met.
